Key responsibilities

- Telephone answering:

- Answering the telephone in a polite and pleasant manner and dealing with the following enquiries; booking appointments, taking payments and general enquiries
Forwarding calls to the as necessary.

- Email management:

- Manage the inbox, taking specific responsibility for the following enquiries; booking appointments, providing general information and forwarding emails to relevant team member as necessary.

- Management of the patient entry and exit

- Raise invoices, take payments (card / cash) and create receipts

- Take responsibility for cash payments.

- Booking any follow up appointments and/or scans

- Collect patient feedback electronically upon exit

- Regularly update diaries (electronic) with appointment information.

- Ensure patients are comfortable during their wait and keep them updated with any clinic delays.

- Management of patient non-arrivals

- Ensuring the clinic is prepared (computer logged on, tidy etc) for clinics.

- Responsible for incoming post, sorting and sharing with relevant team members.

- Responsible for stationery & medical supplies ordering and inventory management.

- Support the practice in administrative tasks as required (including but not excluded to):

- Creating and sending appointment reminders for patients

- Generating appointment recall emails

- Updating and co-ordinating diaries.


- PC experience (MS Office Suite) essential

- Phone answering skills

- The ideal candidate will likely have held a similar role previously, preferably within a medical environment, although this is not essential

- Customer service (telephone or face to face) is desired but not essential

- Positive attitude and demeanour

- Excellent telephone manner

- Sympathetic and caring: patients can sometimes be anxious or worried, a caring and sympathetic attitude is most important

- Discreet approach; being an obesity clinic, the nature of our work is confidential and sensitive
